Organization Overview
The Finance Department of the University encompasses the Controller's Office and the Office of Budget,Treasury,and Research Administration. These offices are dedicated to ensuring the integrity of data submitted,recorded,and reported and to providing the highest level of financial services in support of the University's mission in Biomedical Research.
Overview
This position will be reporting to the Assistant Vice President of Finance. The position includes oversight of University cashflows, outgoing wires, expense reimbursements, corporate credit card program and supervising the treasury staff in their day-to-day roles.
Responsibilities
TREASURY OPERATIONS
Oversight for Cashier function and scheduling of coverage for the Cashier window Monday through Friday 10 AM to 1 PM. (& vacations and sick leave)
Liaise with banks (JP Morgan, TD, Northern Trust & Eastern) on Rockefeller banking relationships and bank services provided, including resolving day to day operational issues as they arise
Manage approvals for the Treasury Department’s software and related access, including bank portals and any Treasury Management System (TMS) used
Responsible for establishing new users, obtaining tokens, removing terminated users on our banking platforms
Develop and document policies and procedures for key Treasury activities including daily cash positioning, cash handling, electronic payments, cash forecasting, and Treasury accounting
Work with the Controllers office to ensure appropriate accounting and provide support for year -end audit
Responsible for maintaining updated business processes for the Treasury process
Back up to the AVP for daily cash sheet preparation and quarterly cash flow schedules
Responsible for the initiation of wires including setting up templates, distributing to authorized signors for approval and release and sending to a/p for batching to Oracle
Oversight of the confirmation process for verbal confirmation of ACH/Wire information
Act as a point of contact within Treasury to assist University Departments/Labs with banking, cash handling, credit cards etc. as well as respond to and resolve any issues
Evaluate existing processes to identify opportunities for efficiencies, automation and risk mitigation; determine the course of action and implement improvements
Monitor the work performance of direct reports and conduct coaching, goal setting and performance reviews
EXPENSE REPORTING
Review and approve employee expense reimbursement requests in accordance with the University travel reimbursement policy
Oversee the review of expense reimbursement requests and Corporate card reconciliation review conducted by the Treasury Manager of Accounting and Treasury Assistants
Over-see the University Corporate AmericanExpress and TD VISA card programs management - set up of new accounts, monthly review, payment processing, and reconciliation
Ensure all related journal entries are prepared and submitted to adequately record all Corporate Card activity into the Oracle general ledger system
RU Visa card program (through purchasing) – monthly payment processing & review and confirmation of purchasing reconciliation, separate process from the other Corporate Card accounts
Periodic review and update of the university travel reimbursement guidelines – update policy and procedures of same for any changes
FINANCE OFFICE PROGRAM SUPPORT
Oversight and maintenance of the Child and Family parent association account
Special Projects as assigned – upcoming – Automated expense reimbursement project – ongoing
Qualifications
Required Qualifications:
Bachelor’s degree in finance or related business field
Minimum of 5 years of relevant Treasury experience
Strong verbal and written communication skills
Proven managerial experience as a team leader
Knowledge of and proficiency in using appropriate software and spreadsheet applications
Preferred Qualifications
- Knowledge of JPMorgan Access platform and Oracle a plus
